All installation, set up and commissioning work is carried out by Easytrace.  Once the system is fully installed, a training program for all staff is undertaken on site and fully supported by our helpdesk and software updates.

 

Cashless Catering – We supply cashless catering to the primary, secondary and tertiary sectors of education. Our cashless solution uses large 15” hospitality touch screen Point of Sale (POS) tills with large on-screen buttons.  Buttons on the tills can be customised depending upon the preference of the till operator. Speed and simplicity were key factors in the design of this module and the benefits have been evident to all who now use it. Administration of the system can be conducted at any PC authorised to do so, and the reports show who has eaten what, when, how much they have loaded and who sold them the food.  The reports can be exported into xls, pdf and doc format to allow data to be transmitted to your finance software.  Money is loaded onto accounts using either coin/note loaders, cheque or over the internet via ParentPay.

 

Access  Control -  EasyTrace has designed an Access Control module as part of the EasyTrace suite. Authorised persons can be given access to controlled doors at specific times on specific days. Controlled access in schools gives peace of mind to everyone and our solution is effective and easy to manage. An intercom system on the main entry door to the school gives reassurance to parents and acts as a deterrent to the opportunist thief.  Reports show who has accessed the building and when, on a door-by-door or area-by-area basis.

 

Electronic Registration - Registration is achieved by the student swiping/passing their card through/over any reader, these being located at central points in the case of session registration and by each teaching room in the case of lesson registration. The data is available on a live time basis and is available to populate any compatible database. Instant reports are available to indicate all present in the case of a fire drill, those absent in the case of truancy control and the administrator has the full range of absent codes to ensure the system achieves an accurate picture for all the legally required reports. There are also a number of statistical reports that enable trends to be seen, appropriate action to be taken on a timely basis, this therefore achieving a more efficient and effective use of all the school resources.

 

Card or Biometric Fingerprint? - We have pioneered Proximity cards, Swipe cards and biometric fingerprint solutions.  Each indentifier has its plus and minus points, and we believe clients should make an informed choice.

 

Cards are versatile, in that they can be used not only with the Easytrace suite but can be integrated with existing software & hardware systems (such as library & access control systems), substantially reducing the cost over installing a whole biometric fingerprint system.  Cards can be worn as an ID badge (particularly useful on non-uniform days or school trips), and are 100% accurate when swiped/passed over a reader.  However, cards can be broken or lost and need replacing, incurring a running cost.  EasyTrace run a low-cost card bureau service and have installed card production systems in schools, allowing our clients full control over their card production.  Some schools have even held a competition for the students to come up with a new card design!

 

Biometric Fingerprints do not incur running costs as fingerprints are free, and students enjoy using the system.  However, the installation of a biometric system throughout the school is expensive and there is disruption to classes when scanning students for the first time.  The accuracy rate for fingerprint scanning is approximately 93%* (lower than that of cards) and a fingerprint solution is unsuitable for users who have skin complaints or a hand injury.
